Tournament Policies & Procedures

How to Register

Submit tournament entry fees one of the following ways: 

  • Online via Sport Wrench (any applicable transaction fees are nonrefundable). 

  

Deadlines 

Late Registration Deadline - Teams registering or paying after this date will incur a $50 late fee. 

Registration Closed Deadline - Teams registering or paying after this date will incur a $100 late fee. 

Move Fee* - Teams that move divisions after the team has been accepted (before or after the deadline) will incur a $50. 

*The move and its fee will only be applied if the move is available. If the move benefits the tournament, the fee will be waived at the discretion of the tournament director.

Acceptance Criteria

Teams will be accepted on a first come, first served basis once a team has completed all registration requirements. Acceptance for all teams is always contingent on space available. 

Registration Requirements: 

  1. Register for the event on Sport Wrench 
  2. Submit entry fee payment 
  3. *If applicable, fulfill the Tournament Advantage Program - If a club/team is located outside 60 miles of the playing venue, they must reserve at least 5 hotel rooms within the tournament's block for the entirety of the event 

*Only required to complete if the tournament is a Tournament Advantage Program event. This will be identified on the tournament's webpage. 

Refund Policy

All entry fees are nontransferable. A team may not apply this entry fee to any other tournament. Each tournament's deadlines can be found on the tournament's webpage.

Important Notes: 

  • Once a team has checked-in online, they will be unable to make changes to their roster 
  • If a change is needed to be made after submission, the team must contact the tournament director 

Miss online check-in? There is no chek-in on-site. Teams will need to email the tournament inbox listed on the tournament's webpage. 

 

Rosters: 

To participate in any Lone Star Region sanctioned event, rosters must include:   

  1. COACH – at least 1 coach; all coaches must have a cleared background screen, signed USAV Junior Club Personnel Code of Ethics, SafeSport certified, IMPACT certified 
  2. SCORER – can be “in-progress” by clinic attendance or pre-registration Scorer Chair  
  3. REFEREE – can be “in-progress” by clinic attendance or pre-registration with Referee Chair  
  4. MINIMUM of SIX (6) USAV Registered ATHLETES  
  5. SAFE SPORT (if applicable)- athletes turning 18 during the season, whose teammates are minors, will be required to take "Core" Center for SafeSport training upon turning 18  

The contact information on the roster MUST be a coach on-site at the tournament. This information is used to contact the team for emergency updates during the event.  

How to satisfy requirements: 

  • Background screen and signed Code of Ethics: complete in USAV membership portal. 
  • To become IMPACT and SafeSport certified: take the course under USAV Clinics in the USAV membership portal. 
  • To become a Scorer or Referee applicant, go to www.lsvolleyball.org and use the "Officials" menu option. 
  • To become a registered member, go to www.lsvolleyball.org and use the “Membership” menu option. 

Spectator Registration

Registrations are valid at ALL locations for the day of purchase and are nontransferable between individuals once scanned.

Children 5 & Under = FREE

Child = 6yrs - 12yrs

Adult = 13yrs - 64yrs

Senior = 65yrs+

Team code is required for purchase. Spectators and coaches will be required to show their electronic registration with corresponding picture ID to obtain entry EACH and EVERY time they enter the event. This may be avoided by downloading the Sport Wrench Express app.

Coaches need their names, phone numbers, and emails on their roster to receive their free registration for entry.

Registrations are valid for the entire day and cannot be shared, modified or refunded once scanned. To change the name or day on your unscanned registration, you can do so through Sport Wrench. Registrations may be refunded up to 1 week after the event date if unused (never scanned).

Codes of Conduct

All atendeees are expected to comply with the Codes of Conduct established by USA Volleyball (USAV) and any venue policies. Additionally, spectators are expected to comply with the Lone Star Region (LSR). Spectator Code of Conduct.

Austin Sports Center (ASC) event staff reserves the right to remove any individual for violating the codes of conduct or engaging in inappropriate, or unsportsmanlike behavior. Individuals removed from an event may also be restricted from attending future ASC operated events. No refunds will be issued.

Venue Policies

The following policies apply to all Austin Sports Center (ASC) tournaments. Additional venue policies may apply at host facilities.

Spectator Information 

As a spectator, you may be near active volleyball courts. Flying balls and incidental contact are part of the sport. Please stay alert at all times and attend at your own risk.

Prohibited Items & Behaviors 

  • Outside food, drinks, or coolers
  • Smoking, vaping, alcohol, or weapons (including concealed firearms)
  • Ball handling outside of designated warm‑up courts
  • Outdoor chairs (unless specifically allowed by venue)
  • Pets (service animals exempt)
  • Bikes, scooters, skateboards, roller skates/blades
  • Artificial noisemakers
  • Spitting, aggressive behavior, or profanity
  • Professional photography/videography unless registered with the tournament
  • Appropriate non‑marking athletic shoes are required on all competition surfaces
  • Any other items or actions restricted by the site director or facility staff

Professional Photography 

ASC does not provide media credentials/passes for any events. Professional photographers must be associated with a team or club to enter the tournament.

Liability & Personal Belongings 

The event and venue(s) are not responsible for lost, stolen, or unattended items. Spectators assume responsibility for personal property and behavior while in the facility.
